Custom CRM & Automations

A CRM built around how your business actually runs

We build custom CRMs and automations that keep leads, estimates, jobs, invoices and follow-ups in one place, connected to your website, so less slips through the cracks.

Signs you've outgrown your current setup

Who it's for
Service businesses and venues juggling inquiries, schedules and paperwork across inboxes, spreadsheets and notebooks.
Leads live in too many places
Inquiries arrive by email, phone and website, and there's no single list of who's waiting for an answer.
Paperwork is built by hand
Estimates and invoices are recreated from scratch, with the same details typed again and again.
Follow-ups are easy to forget
Expiring estimates, unpaid invoices and check-ins depend on someone remembering.
Nobody has the full picture
Schedules, jobs and customer history are split across apps that don't talk to each other.

What we can build

Lead pipeline
Every inquiry in one board, with its source, status and next step, from first contact to won or lost.
Customer records
Customers and companies with their jobs, estimates, invoices, notes and history in one place.
Estimates and invoices
Line items, taxes, deposits and revisions, converted from estimate to invoice, with branded PDFs.
Jobs and scheduling
Jobs, site visits, shifts and meetings on a shared calendar, with team assignments.
Reservations and availability
Live booking calendars that stay accurate across the website, the phone and staff screens.
Automatic follow-ups
Tasks created for you when an estimate is about to expire, an invoice is unpaid or a job needs a check-in.
Phone and AI assistant connections
A phone assistant that can check availability and manage bookings through the same system as the website.
Website connection
Quote requests and bookings from your website go straight into the CRM, with no copying and pasting.

Shaped to your business

A custom system means the pieces follow your process, not the other way around. Common things we tailor:

  • Pipeline stages and the information you track for each lead
  • Estimate and invoice layouts, taxes and terms
  • Which follow-ups are automated and when
  • Who on your team can see and change what
  • Which tools it connects to, such as your website or phone line

We agree on features in writing before we build. Connections to outside services depend on what those services allow, so we check them first.

How a project works

Four steps, with a clear idea of what you do and what we take care of.

  1. Talk it through

We start with a conversation about your business, your customers and what isn't working today.

    You
Share your goals, your current website or tools, and examples you like.
    NorthPeak
Ask practical questions and suggest where to start.
  2. Agree on the scope and plan

You get a written proposal that sets out what we'll build, what's included and the price.

    You
Review the proposal and confirm your priorities.
    NorthPeak
Define the scope, the deliverables and the plan.
  3. Design, build and review

We design and build in stages, and you review the work before anything goes live.

    You
Provide content, photos and access, and give feedback at each review.
    NorthPeak
Design, build and test on phones, tablets and computers.
  4. Launch and support

We launch, check that everything works, and can stay on to maintain and improve it.

    You
    Give the final approval.
    NorthPeak
Launch, check forms and connections, and support you afterwards if you choose ongoing care.

How pricing works

CRM and automation projects are quoted individually, based on the features you need, how many connections to other tools are involved, and how much existing information needs to be brought in.

We often recommend starting with the part that saves you the most time, then adding to it. Your proposal sets out each stage and its price.

Common questions

Do I have to replace the tools I already use?

Not necessarily. We look at what you have and recommend whether to connect to it, bring its information over, or replace it.

Can it connect to my website?

Yes. Go Paint's quote requests become CRM leads automatically, and Chez Putters' website and phone bookings share one reservation system.

Is our information private?

Business screens sit behind staff sign-in, and access can be limited by role. Customer data isn't shown in our public case studies.

Can you add to it later?

Yes. Systems are built so new features can be added as the business grows.
